PARIS WORLD GAMES - GENERAL CONDITIONS OF REGISTRATION

1. Registration

1.11 Conditions of participation
All clubs that are members of a national association recognized by the international federation of their sport can take part in the Paris World Games. In countries where sport is taught in schools, we also allow teams that are members of their school sports federation to take part.

1.12 Number of players per team
There is no limit on the number of players per team. However, the maximum number of participants in a match is limited as indicated in the Sporting Regulations specific to the sport played. Players are advised to use the same jersey numbers for all matches.

1.13 Number of teams in the tournament
The Paris World Games organization cannot accept all applications, and therefore reserves the right to refuse certain teams. Priority will be given to teams that pay the registration fee first. A club may enter a maximum of 3 teams per category, unless otherwise agreed.

1.14 Accompanying persons
The Paris World Games organization enables parents, fans and club members to follow their team by helping them find accommodation in Paris. To take advantage of this assistance and to follow your club as closely as possible in its Paris World Games adventure, simply send us an e-mail to info@worldgamesproduction.com .

2. Required documents

2.11 Insurance
All players must be insured on the sports fields, and all members of the delegation (players and accompanying persons) must have civil liability insurance. In addition, the organizers may ask the head of each club to provide the civil liability insurance certificate of the organization with which they are participating. Teams should also note that nationals of countries that do not have an insurance agreement with France (such as the European Health Insurance Card) must take out additional medical insurance.

2.12 Medical certificate
Clubs must be in possession of a medical certificate for each player, stating that they are not contraindicated in the sport in which they are participating at the Paris World Games. The medical certificate may be requested by the organizers during the visual inspection.

2.13 Identity document
All participants in the Paris World Games must be able to present official proof of identity at all times during the competition. The notion of official proof of identity is understood to mean a document issued by an official authority of the country of which the person concerned is a national, showing an identity photograph. In the event of a dispute concerning the authenticity of the document provided, the person concerned must provide a valid passport or identity card within 24 hours of receiving notification of the dispute, failing which he or she will be disqualified from the competition. Notification of this challenge may be made by any means.

2.14 Transport to the Ile-de-France region
Teams based outside the Ile-de-France region must indicate the mode of transport used to reach the Paris region in the club area of the website. Teams must also indicate their arrival and departure times, as well as the flight or train number for those using these modes of transport. This information must be entered no later than 40 days before the start of the tournament. The organization may ask teams to provide a copy of their travel tickets. Teams failing to provide this information by this date will not be included in the list of participating teams in the tournament's sports tab.

2.15 Visas
Teams from countries requiring visas to travel to France must provide a copy of their visas by June 1 at the latest. Teams failing to provide this information by this date will not be included in the list of participating teams in the tournament's sports tab. The organization can provide assistance with consular formalities by means of an official invitation or by producing documents detailing how the team will be taken care of in Paris during the event, but can in no way be held responsible for any refusal to issue visas or for any resulting costs.

3. Payments

3.11 Payment dates
• 01/09: registration opens.
• 10/04: Deadline for registrations and final payments.

No registration will be accepted by the Paris World Games without payment of the corresponding deposit.
The Paris World Games organization reserves the right to refuse the presence of the team at the event if the full price of the stay is not paid before the scheduled date, and will retain the sums paid as cancellation penalties. Whatever the registration date, the amount corresponding to the team registration fee is requested at the time of registration.

For registrations after 10/04, a deposit of 30% of the total cost of the holiday is required at the time of registration. The full price of the holiday must be paid no later than thirty (30) days after registration. For registrations made less than (50) days before the departure date, the full price of the stay is due to Paris World Games at the time of registration.
In accordance with article L.121-20-4 of the French Consumer Code, teams registered for the Paris World Games do not benefit from the seven-day cooling-off period.

3.12 Paris World Games bank account

Please note that all banking transactions must be carried out by the clubs or agencies approved by the organization.

3.13 Services common to all packages
All packages include :
• Access to the opening ceremony
• Access to the Paris World Games Village
• An individual award

3.14 Services for packages with accommodation
All packages with accommodation include :
• For Football and Handball, 5 nights' accommodation from July 7 to 12. At least 1 night for Basketball and Rugby à 7.
• Meals from breakfast on the day after arrival to breakfast on the day of departure.
• For Handball and Football, unlimited public transport in Paris from arrival at accommodation on July 7 to the end of July 13.
  • Shorter packages are available for specific sports. Details of the services to be taken into account for these packages are given in the offer.
Boarding and gym packages do not include breakfast.

3.15 Additional nights
It is possible for clubs to book extra nights with the organization. It is important to note for the clubs concerned that these extra nights do not give direct access to the extension of the catering and transport packages planned during the week. These can be purchased as an option from the organization.

3.16 Options
The Paris World Games offers the club the possibility of subscribing to various options (airport transfers, additional nights, additional meals, transport passes, etc.). Subscribing to these options in no way entitles you to the above-mentioned services if they have not been subscribed to.

3.17 Ile-de-France clubs
Clubs from the Paris region who register for the Paris World Games are entitled to the services mentioned in paragraph 3.13, with the exception of the opening ceremony, which is offered as an optional extra, as are catering and accommodation. In addition to payment of the team registration fee, the participation of clubs from the Paris region is conditional upon production of a club attendance commitment signed by the club president, a model of which is sent by the organization upon registration.

4. Modifications

4.11 Free modifications
Teams can request to add participants or change accommodation up to 40 days before their arrival date. The organization will try to accommodate team requests as far as places are available. In the event that a change cannot be accommodated, the organization will notify teams by any means of this impossibility. Teams will then have the option of retaining their place in the formula previously reserved, or cancelling under the conditions set out in article 5 of these General Conditions of Registration.

4.12 Reducing the number of participants
Any reduction in the number of participants is equivalent to a partial cancellation. Cancellation of any of the services subscribed to by the teams may not be reimbursed under conditions other than those set out in Article 5 of these General Conditions of Registration.

4.13 Options and extra nights
Any additional option or night purchased is due. Within 40 days of arrival, any substantial change to the airport transfer schedule is equivalent to a cancellation. The deadline for purchasing an option or additional night is 40 days before arrival.

4.14 Organizational changes
The organization may unilaterally modify a team's accommodation up to the date of arrival, provided that the team is reclassified in accommodation of at least an equivalent standard. The organization must notify the team concerned by any means as soon as possible.

5. Cancellations

5.11 Team cancellations
Any notification of cancellation must be made by registered letter with acknowledgement of receipt to: PARIS WORLD GAMES 38 rue Guynemer 75006 PARIS The postmark will determine the date of dispatch. In all cases, the Paris World Games organization will retain penalty fees calculated on the total price of the quotations subscribed by the delegation and varying according to the date of cancellation, in accordance with the conditions below.

* Team registrations are never reimbursed, regardless of the date of cancellation.
If you have taken out an insurance package, the amount will not be reimbursed. In the event of cancellation on your part, it is your responsibility to contact your insurer, even if you have taken out insurance through our partner.

5.12 Cancellation due to the organization and Force Majeure
In the event that the tournament cannot take place, or is delayed, for reasons beyond the control of the organizers (Force Majeure), or as a result of events that are not attributable to the gross negligence or manifest error of the organizers, the Paris World Games organization cannot be held liable to the delegations for any damages incurred. Damages incurred are understood to mean financial or material losses such as the cost of transport tickets, accommodation or other expenses incurred in connection with the delegation's stay. In such circumstances, the organization reserves the right to retain all or part of the registration and/or accommodation fees if they have already been collected by third parties, or to pay them in the form of a credit note for the delegation's future participation in the Paris World Games. The organization will, however, make every effort to reimburse costs that have not yet been collected by third parties. The Paris World Games organization is in no way liable for injury or economic loss caused by armed conflict, terrorist acts, strikes or any other acts of public authority.

5.13 Visa refusals
The decision by consular authorities not to issue visas for all or part of the delegation does not imply any right to a specific refund for the delegation concerned. The conditions set out in articles 4 and 5 of these General Terms and Conditions of Registration apply ipso jure to such situations, whatever the reasons for the refusal and whatever the status or number of persons concerned by the refusal.

6. Rules of procedure

The organization would like to remind teams that delegation leaders are responsible for the good behavior of all delegation members. The organization reminds teams that they are bound by the following rules.

6.11 On the premises
Teams agree to read and abide by the rules and regulations of their accommodation. It is the responsibility of the accommodation to ensure that these rules are applied to participants as well as to all their guests, as their decisions in no way bind the Paris World Games organization. In all cases, accommodation must be quiet between 10pm and 8am. Accompanying staff must be particularly vigilant on this point. An adult in charge of the delegation must always be close to the children.

6.12 On catering premises
Teams agree to read and abide by the rules and regulations of the catering venues. It is the responsibility of the catering venue to ensure that these rules are applied to participants and all other users, as their decisions in no way bind the Paris World Games organization.

6.13 Vis-à-vis members of the organization
Teams undertake to read and understand all the General Conditions of Registration, which bind them to all parts of the Paris World Games organization. The organization reminds that the Paris World Games are organized with values of fraternity, respect and exchange that must prevail in all circumstances.

6.14 French laws on alcohol and tobacco
It is important to note that all French laws apply to all teams, whatever their nationality, from the moment they enter the country. All these laws can be found at www.legifrance.gouv.fr . The organization would like to point out that French law prohibits smoking in all public places, and that this prohibition also applies to sports venues. It is also forbidden to be drunk on the public highway.

7. Transport

7.11 Validity of the Pass Transport-PWG
Unlimited access to public transport (bus, metro, tramway) in Paris is included for participants who have booked weekly accommodation during the tournament. The PWG Transport Pass is activated on Monday 07/07 on arrival at accommodation and ends on Sunday 13/07 evening. The PWG Transport Pass is valid for the entire period for RATP zones 1 and 2.

7.12 Airport transfers
Airport transfers to accommodation are optional. We invite clubs to contact the organization for any questions or information on this subject. We can be reached at info@worldgamesproduction.com . Clubs should note that transfers refer to return trips from Charles de Gaulle and Orly airports. Transfer rates are available on request.

8. Insurance

8.11 Organization insurance
The Paris World Games have taken out a civil liability insurance policy with MAIF Assurance. As cover for cancellation or interruption, bodily injury and death is not included in the services offered by the Paris World Games, the organization strongly advises you to take out additional insurance. The organization can be contacted at info@worldgamesproduction.com for further information. The organization reminds you that it is not responsible for theft or damage to property, and recommends that teams do not leave any valuables or money unattended during the tournament, whether in the accommodation, changing rooms or on the pitches.

8.12 Liability due to our service providers
While the Paris World Games organization works with carefully selected suppliers according to established criteria, it does not replace the responsibility and insurance of its suppliers.

8.13 Team liability
The organization's liability and insurance do not replace those of the teams for any damage they may cause to other participants, service providers or third parties.

9. General sports regulations

9.11 Regulatory framework and specific sports regulations
The tournament is played in accordance with the regulations of the international federation or the French federation of the sport concerned.
The specific sporting regulations for each discipline are published on the discipline page of the website.

9.12 Waivers
Exemptions are granted for women's tournaments. Teams may participate with a maximum of 2 players born one calendar year before the category in which the team is registered. Girls may play in boys' teams up to the U15 category. Teams from countries using the August 31st rule may use players born between September 1st and December 31st of the calendar year prior to the category in which the team is registered. Teams taking part in tours may benefit from exemptions granted by other tournaments, subject to obtaining a written waiver from the organization, which must be presented before each match.

9.13 Referees
Matches are refereed by official referees from different countries. In exceptional cases, official referees may be replaced by volunteer referees from the organization, who have the same duties as soon as they are appointed to the match. Appointments may be notified by any means by the organization.

9.14 Exclusions and suspensions
The organization may impose sporting sanctions, up to and including exclusion from the tournament. In accordance with the French Sports Code, reasons must be given for any such sanctions, and the principle of adversarial proceedings must be respected. A scale specific to each discipline has been drawn up by the organization to provide a framework for these sanctions. These sanctions are complementary to, and non-competitive with, any police measures that may be taken by the authorities.

9.15 Number of matches
Teams play a minimum of 4 matches. A win earns 3 points, a tie 1 point, a loss 0 points and a penalty -1 point. The top two teams in each pool play in Tournament A, while the teams ranked after 2nd place play in Tournament B. During the Final Phase, matches are knockout.

9.16 Awards
Each player receives a prize. For the winners, the Paris World Games Trophy will be awarded (Gold medal). Finalist teams also receive a trophy (silver medal).

9.17 Entries and meeting times
The official kick-off times and locations are those indicated by the official Paris World Games application. These details are subject to change, provided the organizers give sufficient notice. Teams must be present at the venue at least 30 minutes before kick-off time. Any team not present at kick-off time will be considered to have forfeited the match. A forfeit entails forfeiture of the match and a penalty for the absent team (-1 point in the group phase and elimination in the final phases). The team present will then be considered as the winner and will be awarded a number of points/goals according to the specific sporting regulations of the discipline concerned.

9.18 Visual check-in
Each player must be able to prove his age and identity when registering his team for the tournament. When registering, he/she must present the documents stipulated in article 2 of the present General Conditions of Registration.

9.19 Pre-meeting visual inspection
The referees will check all participants before each match. Each team must be able to prove the identity and age of all its players if requested by the opposing club. Failure to present an official identity document as defined in article 2 above will result in the non-participation of the player concerned in the match in question.

9.20 Sports facilities and grounds
Paris World Games fields are approved by the relevant federations. Some fields have specific requirements for players' equipment. For example, teams can already note that shoes with screw studs are not authorized on synthetic surfaces. Finally, the specific equipment for each discipline will be specified in the specific sporting regulations and will apply to participants in the sport concerned.

10. Claims

10.11 Sports
All decisions relating to sporting matters are the responsibility of the specific disciplinary commissions for each sport. The decisions of the specific disciplinary commissions are final. It is also specified that these decisions may not be challenged for financial compensation.

10.12 Other claims
Complaints concerning all non-sporting services should be addressed to the Paris World Games sales department.

10.13 Mediation clause
In the event of a dispute, the parties agree that prior to taking any legal action, they will attempt to resolve the dispute amicably. In the event of failure to resolve the dispute amicably, they will call upon a professional mediator, which, in accordance with Article 2238 of the French Civil Code, will have the effect of suspending the statute of limitations on any action available to them. The cost of the intervention will be shared 50% by each party. They agree to an individual interview and at least one meeting with the mediator with a view to putting an end to their dispute.

10.14 Jurisdiction clause
Any legal action relating to these General Terms and Conditions of Registration shall be subject to the exclusive jurisdiction of the Paris courts and to French law, unless otherwise agreed.

11. Image rights

In the absence of written notice to the contrary sent to Paris World Games on the day of the event or at the latest before the end of the week in which the images are taken, acceptance of the General Conditions of Registration by the clubs and players constitutes authorization for the reproduction and representation of photographs and videos in the event of reporting. Consequently, the club and players authorize the Paris World Games to broadcast images taken in connection with the event. The images may be exploited and used directly in all forms and media known and unknown to date without any time limit (press, brochures, posters, internet, etc.) to promote the Paris World Games. The customer acknowledges that he/she is in full possession of his/her rights and may not claim any remuneration for the exploitation of the rights referred to in this paragraph.

In addition, acceptance of the General Registration Conditions by clubs and players implies agreement to the publication on the Paris World Games website and official application of all player information entered by clubs on the website's club space tab.

Note: registration is only offical once the participation fees have been paid (300€ per team).
